Reminder: Skype for Business Online retires July 31, 2021

Note: If your organization has already transitioned from Skype for Business Online to Microsoft Teams, please disregard this message.

Originally announced in MC219641 (July ’20), as Microsoft Teams has become the core communications client for Microsoft 365, this is a reminder the Skype for Business Online service will retire July 31, 2021.

How this will affect your organization

  • If your organization has been scheduled for a Microsoft-assisted upgrade from Skype for Business Online to Teams, you will receive corresponding notifications within Message Center containing additional information.
  • While your organization will no longer be able to use Skype for Business Online once the service retires, you may continue to use Microsoft Teams as part of an existing licensing agreement.
  • Support for the integration of third-party party Audio Conferencing Providers (ACP) into Skype for Business Online will end as Skype for Business Online retires.
  • Neither the Skype consumer service nor Skype for Business Server products are affected by the retirement of Skype for Business Online.

What you need to do to prepare

We encourage customers using Skype for Business Online to plan and begin the upgrade to Teams today. To help, Microsoft offers comprehensive transition resources including a proven upgrade framework, guidance for technical and organizational readiness, on-demand upgrade planning workshops, and FastTrack onboarding assistance for eligible subscriptions.

Microsoft Defender for Office 365: Extending Secure by Default for Exchange Transport Rules (ETRs)

Microsoft believes it’s critical to keep our customers secure by default. We have determined that legacy overrides tend to be too broad and cause more harm than good. As a security service, we believe it’s imperative that we act on your behalf to prevent your users from being compromised. This means these legacy overrides will no longer be honored for email messages we believe are malicious. We already apply this approach with malware messages and now we have extended it to messages with high confidence phish verdicts. We have been taking a very deliberate approach to rolling out these changes in phases to ensure customers are not surprised and there are no negative side effects. We began to rollout Secure by Default for high confidence phishing messages by the override type starting in December 2020 (Roadmap ID 60827). Today, we’re at a point in our Secure by Default journey where the following overrides are not honored for malicious emails (malware or high confidence phish emails):

  • Allowed sender lists or allowed domain lists (anti-spam policies)
  • Outlook Safe Senders
  • IP Allow List (connection filtering)

We are now extending Secure by Default to cover high confidence phishing messages for the remaining legacy override type, Exchange mail flow rules (also known as transport rule or ETRs).

Key Points

  • Timing: We will begin rolling out Secure by Default for ETRs starting at the beginning of August and complete rollout by early September.
  • Action: Review and assess impact.

How this will affect your organization:

After the last phase of Secure by Default is enabled in August for ETRs, Defender for Office 365:

  • Will no longer deliver messages with a high confidence phish verdict, regardless of any explicit ETRs.
  • Will no longer recommend using ETRs to configure third-party phishing simulations or Security Operations mailbox message delivery.

What you need to do to prepare:

If you are currently using Exchange mail flow rules (also known as transport rules or ETRs) to configure your third-party phishing simulation campaigns or delivery for security operation mailboxes, you should begin to configure these with the new Advanced Delivery policy when the feature is launched in July (Roadmap ID 72207). For more information, please refer to message center post MC256473. Administrators should also use the submission portal to report messages whenever they believe a message has the wrong verdict so that the filter can improve organically.

How this will affect your organization

Note: This policy will not impact existing Office preview settings. Tenants with users who are currently in Teams Technology Adoption Program (TAP) will remain in TAP and this policy will not have any impact on those user’s preview settings. Additionally, this policy will not have an impact on Targeted Releases.

What you need to do to prepare

This policy can be managed via the Teams Admin Center > Teams > Update Policies. You can also use PowerShell to update this setting (CsTeamsUpdateManagementPolicy).

This follow Office preview setting is enabled by default for all users in your tenant. If you wish to disable this setting, please go to the Teams Admin Center to do so (or use PowerShell).

If you already have users who you have allowed to opt-in/opt-out of Public Preview and wish to maintain that setting in its current form, you will need to go to the Teams Admin Center to switch from the new default, “FollowOfficePreview” to “Enabled” (or use PowerShell).

Note: If you do not want your users to see the recommendations for the new Microsoft Outlook Extension for Edge, you can opt-out of these for your organization.

How this will affect your organization:

Clicking on the mentioned recommendation will take the user to the Microsoft Outlook extension page in the Edge extension store.

  • The recommendation will show up as a dismissible header banner, for Outlook on the web and Outlook for Windows, and will show at most three per user in each app.
  • Future promotions for the extension could be displayed in other locations.

Here are examples of what the banner will look like for Windows 10 users in Outlook on the web and in Outlook for Windows.

Your users will see recommendations to install the publicly available Microsoft Outlook Extension for Edge. Your users can dismiss the recommendation. They will see the recommendations at most two more times within a 60-day period before it is suppressed permanently.

Users can decide whether to install the Outlook extension.

The extension shows a user’s email, calendar, contacts, and tasks from an icon in Microsoft Edge without requiring that they open another browser tab. The extension is a “mini” version of Outlook on the web which operates as a one-click flyout from the browser header:

Teams Guest Access Setting Behavior Update

We’re making some changes to Guest Access in Microsoft Teams settings. Currently, Microsoft Teams prevents guest collaboration in the guest tenant once the Allow Guest Access in Teams setting is set to OFF in the M365 Admin Center.

Beginning in late July, Microsoft Teams will no longer prevent existing guest collaboration in the guest tenant when the Allow Guest Access in Teams setting is set to OFF.

When this will happen

We will begin and complete rolling this out in late July.

How this will affect your organization

Current behavior for guests:

When you turn Teams guest access OFF for your organization, guests can’t access Teams. Guests are removed from all teams they previously had access to. However, guests are not removed from the Microsoft 365 groups that are associated with the teams and guests still have access to other Microsoft 365 group resources such as SharePoint. If you turn Teams guest access ON again, guests in Microsoft 365 groups will be re-added to the associated teams and regain access.

Updated Guest User Behavior:

When your turn OFF Teams Guest Access in your tenant, Microsoft Teams will continue to block guests from accessing Teams. However, these guests will not be removed from the teams. Since guests are not removed, they are still visible to users in teams and channels and can be @mentioned. If you turn Teams guest access ON again, guests in teams will regain access. You may choose to remove guests when you turn guest access off, but if you turn it back on again you’ll need to reinvite them.

When guest access is turned OFF, no new guests can be added to Teams (no change to the behavior). This change does not affect guest permissions outside of Teams (such as access to files in SharePoint).

Note:

  • The updated behavior does not remove any previous guest resources access.
  • Guests will not be removed from modern groups and will continue to be able to participate in teams, chats and meetings as well as collaborate on resources in the guest tenant.
  • Like with any Microsoft 365 workloads, the guest tenant admin would have to remove the guest from the group.

What you need to do to prepare

Please familiarize yourself with the Guest Access feature and how it differs from other external collaboration mechanisms already available within Microsoft Teams. Additionally, you’ll want to understand how changing the Guest Access settings affect the behavior of current and future guests

Office Telemetry Dashboard to be removed from Microsoft 365 Apps for enterprise, starting with Version 2208

Office Telemetry Dashboard is being removed from Microsoft 365 Apps for enterprise. The first version of Microsoft 365 Apps for enterprise without Office Telemetry Dashboard will be Version 2208, which is expected to be available first in Current Channel in the second half of August 2022.

Note: If you do not use Office Telemetry Dashboard, you can disregard this message.

Components of the Office Telemetry Dashboard will no longer be available in Version 2208 or later including the Office Telemetry Agent, Office Telemetry Processor, and the dashboard itself.

Note: Office Telemetry Log is not being removed and will still be available on client devices running Windows.

When will this happen:

The first version of Microsoft 365 Apps for enterprise without Office Telemetry Dashboard will be Version 2208. That version is expected to be available first in Current Channel in the second half of August 2022.

Version 2208 is expected to be available in Semi-Annual Enterprise Channel in January 2023.

Note: Office Telemetry Dashboard is not being removed from existing perpetual versions of Office, such as Office Professional Plus 2019. If you are using a perpetual version of Office, Office Telemetry Dashboard will be supported as long as your version of Office is supported. Here are the end of support dates for perpetual versions of Office that include the Office Telemetry Dashboard:

  • Microsoft Office 2013 – April 11, 2023
  • Microsoft Office 2016 – October 14, 2025
  • Microsoft Office 2019 – October 14, 2025

How this will affect your organization:

Once a device in your organization updates to Version 2208 or later of Microsoft 365 Apps, Office Telemetry Dashboard components will be either removed or become unsupported.

To access information about the COM and VSTO add-ins in your environment, you can use the inventory feature available in the Microsoft 365 Apps admin center

What you need to do to prepare:

As the devices update to Version 2208 or later, the Office Telemetry Dashboard and Office Telemetry Agent will be automatically uninstalled from the devices.

However, the Office Telemetry Processor will need to be manually removed from devices using your standard management tools as there will be no new data for it to process. Similarly, the rest of the infrastructure including the shared folder and the SQL Server for permanent storage of telemetry data will become obsolete and therefore can be removed.

Your lists now automatically sync to your Windows device, improving performance when you work with your lists and allowing you to continue your work even when you’re offline or lose your internet connection.

  • Lists sync is powered by a new general-purpose sync engine that gets packaged, installed, and updated through the OneDrive sync app’s existing update mechanism.
  • The data is stored in a local database and requests are handled through a secure localhost HTTP server. Lists sync runs as a separate background process (Microsoft Nucleus.exe).

Lists sync is currently only supported on Windows devices (Windows 10 or later) running the OneDrive sync app.

How this will affect your organization:

After the Microsoft Nucleus.exe is installed and running, the sync process begins when a user first navigates to any list or to the Lists web app. All eligible lists that are visible from the Lists app will be synced.

Common operations on lists, such as changing list views, sorting, filtering, and grouping happen locally and finish quickly even on very large lists. All of these operations continue to work offline. Edits sync between your device and the cloud and you can resolve merge conflicts if there are any.

This feature is on by-default for all eligible lists.

To configure Lists sync on users’ devices, use below Group Policy objects (GPOs):

  • DisableNucleusSync: Prevent Lists sync from running on the device (default: not enabled).
  • BlockExternalListSync: Prevent users from syncing lists shared from other organization (default: not enabled).
  • DisableNucleusSilentConfig: Prevent users from getting silently signed in to Lists sync with their Windows credentials (default: not enabled).
  • Control Access from unmanaged devices: Blocks or limits access to SharePoint and OneDrive content from unmanaged devices (default: not configured).
  • Control access to SharePoint and OneDrive data based on network location: Controls access to SharePoint and OneDrive resources in Microsoft 365 based on defined network locations that you trust (default: not configured).
